Restrooms are the last thing planned and the first thing complained about. Work this list in order and it stays a non-issue.
3–6 months out
- Lock the guest count range and event duration
- Decide trailer vs. standard units based on venue formality
- Book the date — spring and fall Saturdays go early in East Texas
- Confirm ADA requirements with the venue
6–8 weeks out
- Walk the site and pick placement locations
- Confirm truck access: 60 feet of straight approach, no low branches
- Identify a 110v outlet within 100 feet of trailer placement, or budget a generator
- Decide whether attendant service is needed (generally yes above 200 guests)
2 weeks out
- Confirm final guest count and adjust unit count if it moved more than 15%
- Confirm delivery window — the day before the event whenever the venue allows
- Confirm pickup timing with the venue's teardown schedule
- Send a site photo or pin to your rental company
Event week
- Confirm placement one more time if the layout changed
- Verify lighting near restroom locations for evening events
- Point signage at the restrooms — guests should never have to ask
Placement rules worth following
Distribute, do not cluster. Guests use the nearest unit. A single bank of restrooms creates a line at one end and empty stalls at the other.
Not directly downwind of food service. Obvious, routinely overlooked.
Visible but not featured. Behind a hedge or tent wall, within sight of the main area. Guests should be able to find them without a tour.
Firm, level ground. Trailers especially. Soft ground after a rain is the most common day-of problem in East Texas.
Power and water
Restroom trailers carry their own fresh water, so a hookup is optional. Power is not — climate control and lighting need a standard 110v circuit. If the venue does not have one within reach, a generator gets added to the order.
Timing
Delivery the day before removes restrooms from the event-morning critical path entirely. Pickup the next business day means nobody on your team is coordinating a haul-off during teardown.
Both are free to schedule. Ask for them.
